General Functionality FAQs
I'm trying to add an organization to the Working Group List and I receive a message that the organization already exists. The organization isn't in our environment so how can I add it?
Go to the People page, select the External Users tab and add the organization from there. Then go back to the Working Group List and you will be able to add the organization.
Note
You must be a Firm Admin or System Admin to access the People page.
What happens if I add an organization to Transact, and later decide that I want to change the name?
If no one from that organization has logged in yet, then you can edit the organization name yourself. Go to the People page, select the External Users tab and click Edit next to the organization you want to change.
If someone from that organization has already logged in, then their System Admin would need to make the change in the Admin Portal, Profile tab.
Tip
If that organization was created after November 21, 2020 then the System Admin is the first user added to the organization.
Can I remove a user? For example, when a colleague leaves the firm.
System Admins can disable a user’s access to Litera Transact at any time. For example, when an employee leaves and their access to sensitive information in deals in Litera Transact needs to be revoked. When a user is disabled, they can no longer log in to Litera Transact.
To disable a user’s access:
- In the Admin Portal, select the Firm Roles tab.
- Scroll to the member in the list of team members.
- Deselect the Active checkbox for the user. The user’s account is deactivated immediately. If the user is currently logged in to Transact, they will be automatically logged out.
What file types can I upload to Litera Transact?
You can upload any file type to the checklist or data room but only the following file types can be viewed in the Litera Transact viewer or included in the closing book:
pdf, doc, docx, xls, xlsm, xlsx, ppt, pptx, jpeg, jpg, png, tif, tiff.
How do I reset a password?
Navigate to the Litera Transact login page and select the Forgot Password link to send a new link to your email address. Follow the instructions to create a new password. The password reset link is valid for six hours.
How do I start a new deal?
Click Create Deal at the top, right side of the screen to begin creating a new deal. For more detailed information on how to start a new deal, refer to the Create a Deal GSG (PDF).
Can a deal be cloned/copied?
Yes it can. Refer to Create a Deal Based on an Existing Deal.
Is there a limit to the number of people I can invite to a project?
No, there is not currently a limit.
Can I add someone to my deal as a signer only?
Yes. If you have signers who only need to sign documents within the deal, and not collaborate or access any other area of the deal, then you can add those individuals during the signature process.
If you do not want your signers to access any deal information, the best way to add them is by adding them as a signer in the Signatures page, instead of adding them as a deal collaborator to your Working Group List. See Creating Signature Groups and Blocks.
Is there an upload/file size limit?
No, there is not currently a limit, although the length of time it takes to upload/download a file is dependent on computer capabilities, internet connection, etc.
Why is my emailed document not being received by the deal?
Make sure you're sending the document using the custom email address assigned to the deal, displayed at the top of the screen next to the deal name. Also be sure to email the document from the email account associated with your Litera Transact user account (your Litera Transact login email address).
I sent out a signature packet for signing, but now I see I made a mistake on the signature page. Can I correct and resend the packet?
Yes, you may void the packet that's been sent to a signer and make corrections and resend the packet for signatures when ready. If the packet has been collated (signature page combined with document), you will need to separate it before voiding.
What happens to my deal information or the documents at the end of a project/deal?
Information and documents within a deal remain in Litera Transact at the close of a deal. You may continue to access this historical information in the future within a closed and archived deal. You can also export all the deal data and put it in long-term storage, such as your DMS, and then delete the deal from Litera Transact.
Who has access to close a deal?
Can I edit deal information after closing the deal?

Can a deal be re-opened after it is closed?

Can I edit deal information once it has been archived?
