Signature Management FAQs
How do I add a company's address below the signature line?
Navigate to Signatures > Pages and select the Block Design tab in the right panel. Toggle the Address field on to include the address below the signature in the signature block. If you have provided address information in the Signers tab, it will populate automatically into the Address field in the signature block.
You can make further edits to the Address field by expanding the field:
- Show the address in bold font or italics.
- Select whether or not to show the label “Address”.
- Change the label to something else.
- Show the label in bold font or italics.
Additionally, when using a copy address, you can select whether or not to show the label “With Copy To”, change the label to something else, and show the label in bold font or italics.
Why is my closing document not displaying on the Pages tab, to assign signers and send it out for signatures?
The Signature Required option must be selected for a document in the checklist in order for the document to be displayed in the Pages tab.
How do I create a signature block if I don't know who will be signing for an organization?
When adding the signer, select Use a placeholder name and leave name and title fields blank. In order to send signature packets to that user, an email address is required.
The signature block will display on the signature page with blank fields for By, Name, and Title, for the signer to complete.
How do I send the signature packet if I do not have the direct contact information for the signer? Ex: There is a "middleman" working to coordinate signatures and disseminate information to others in the deal.
Since signers do not need to log into Litera Transact, send the signature packet to the “middleman” who can then forward the Litera Transact email containing the signature packet to the appropriate email address. The signer would simply need to update the signing name within DocuSign/OneSpan before signing electronically.
Can I change a signer's information throughout the documents if I've already sent out the signature packets?
Yes. First void the signer’s signature packet. Then navigate to the Signers tab and update the signer’s information, replacing the incorrect signer’s information. The new signer will already be assigned to the documents and the information will automatically populate in the Tracking tab. Resend the signature packet to the new signer.
How do I allow a contact to sign under multiple capacities? Ex: There is a contact who needs to sign as both a stockholder and board member for multiple closing documents.
Add the same contact to multiple signature groups, creating their signature blocks as both a stockholder and board member. The signature packets are tied to the email address of the signer, therefore the signer will only receive one packet, but will sign separate pages as the stockholder and board member.
How do I add multiple contacts from an entity to sign documents, knowing that only one will be the correct contact and will sign?
Add all contacts as signers to the signature group and add all of them to sign the closing documents. After signature packets are sent and the correct contact signs, void the remaining signature packets for the additional signers and remove the signers from Pages and the signature group.
Can I change the signature type for a document after I've sent out the signature packets? Ex: A signer does not want to use DocuSign, but I've already sent out the signature packets.
Yes. After sending the signature packets through DocuSign, you may void the packet, and then switch the signature type from DocuSign to Manual. Resend the signature packet to the signer with the new setting applied. Signature packets already sent will not be affected and will still be collected through DocuSign. The same steps can be applied if one document/packet needs to be changed from Manual to DocuSign.
Can I add additional formatting to a signer's signature page, outside of the options provided within Litera Transact?
You may upload a custom signature page for a signer within Litera Transact. After adding the signature group to the document on the Pages tab, select the signer’s name under the signature group. In the Page Design tab in the right panel, click Upload Custom Page. Upload the signature page as a PDF and place tags as needed.
Can I change the closing document after signature packets have been sent? How about after I've received signatures back from signers?
Wait to collate the closing documents until the final version of the document is uploaded in the checklist and signatures collected.
How do I include within my collated closing document a signature page completed and sent outside of Litera Transact?
If the signature page is from a manual signature packet, with a Litera Transact QR code present, you may upload the page in the Tracking tab. Otherwise, the unique signature page may be added as a separate line item within the checklist, under the document it applies to. The separate signature page can then be combined with the final document within Closing Books.
Does Litera Transact maintain cryptographic seals in e-signed documents?
Yes. During the e-signature process, DocuSign/OneSpan embeds a cryptographic seal into a document to verify an electronic signature’s authenticity. Litera Transact does not change or alter that seal in any way, preserving the validity of an e-signed document.
Note
For OneSpan packets, if signature pages are added to an existing packet in OneSpan, each of the signature pages is a separate document with a separate cryptographic seal. At the moment, Litera Transact only supports one cryptographically sealed document per packet.
Note
Signature pages that have been sent and electronically signed externally to Transact and then manually matched in Transact will not have a cryptographic seal. This is because the uploaded PDF potentially has several signature pages so Litera Transact splits it up. So when exporting a manually matched signature packet, it won't be the original file, but rather the processed PDF version of it.
When sending a signature packet to a signer, does that packet ever expire?
Yes. Requests to sign expire 120 days after sending the envelope.
